Change, move or cancel an event

Venues fall through, acts cancel, dates move. When plans change, the most important thing is telling your guests early and being clear about what happens to their tickets.

Change details after you sell

You can edit your event in its settings at any time, also after tickets are sold. The event link stays the same and tickets that were already sold stay valid. Guests aren’t told about changes automatically, so let them know yourself when something they rely on changes, such as the start time or the address.

Your guest list has the name and email address of everyone who bought a ticket, and a phone number when they gave one. Use those details only to contact guests about this event.

Move the event to a new date

Change the start and end time in the event settings. Existing tickets stay valid for the new date, and the scanner works as before. Then tell your guests the new date, and what they can do if they can’t make it.

A new date, or another big change, can mean guests are entitled to a refund. Offer one to anyone who can no longer come. Your earnings for the event become available after its new end time.

Stop sales without cancelling

To stop selling but keep the event, set the time sales end to now in the event settings. To take the event page offline as well, set the event back to draft: guests can no longer open it or buy tickets, and only you can see it. You can publish it again later.

Cancel an event

Tell your guests as soon as you know, using the contact details on your guest list. Say clearly that the event is cancelled, how they get their money back and when. Then set the event back to draft, so nobody else buys a ticket. An event that has sold tickets can’t be deleted, so your sales records are kept.

As the organiser, you are responsible for refunding your guests, as described in section 7 of the Terms. Guestlist doesn’t pay out refunds itself, but if you’re not sure how to handle them, email hello@guestlist.ee and we’ll give you advice.
